I just wrapped a week-long shoot in Gainesville and Jacksonville, Florida this past Friday, so it has been a few days since I have been able to post. The crew spent a few days traveling to several hospitals in the Shands Healthcare System to shoot footage that will be used in an employee orientation/recruitment/retention video. And although we had dozens of people to interview and several different camera set-ups, the entire process went very smoothly, thanks not only to the diligent pre-production efforts of the producer, but also to the two Shands PR representatives who worked with us during the week. Their efficiency and organization reminded me of the importance of having a company representative on location during the shoot.

So, as you prepare for your next promotional video, be sure to assign a company rep to assist the production company in whatever they might need to get the job done in the most efficient manner. Some things to think about when choosing this person:

1. PERSONALITY - You want someone who is friendly, outgoing, and who is generally excited to be working with the production company. Remember, this representative is not a baby-sitter. They need to be actively involved in communicating to the director and producer what your company needs. The PR rep from Shands Healthcare was very good about telling us what kinds of questions to ask during interviews to make sure they got what they wanted for their video.

2. PR - This individual should be a member of your public relations team, because he/she will have the most experience dealing with this kind of project. However, you might be a smaller business with no PR department. If so, look for the person who normally handles any in-house marketing projects.

3. PREPAREDNESS - There are a lot of details to cover when scheduling a shoot. A good PR representative will have everything lined up before the production company arrives:

A. Locations - make sure the locations are sapcious enough to accommodate all production equipment
B. Talent - all employees who will be featured in the video need to be scheduled and screened
C. Release Forms - everyone who is seen in the video needs to sign a release form
D. Schedule - the itinerary for each day’s shoot needs to be organized

A reliable representative working with your production company will only make the entire process much easier for all involved and will make the final video more in line with your business’s needs.
