Here are a few production stills from one of our recent commercial shoots. The client is PoshBirmingham.com, a soon-to-be-launched website highlighting some of the best retailers and restaurants in the Birmingham area. We produced :30, :15, and :05 spots that will start airing mid June.

checklistWhat your video production doesn’t know can hurt you. Many people who have little experience working with video production companies usually feel a bit overwhelmed. They understand that they need to produce a video for their company, non-profit, school, etc. but beyond some basic generalities about the project, they aren’t sure what the video production company needs or needs to know. If the entire process is to run smoothly, you need to provide the video production company with some logistical details. A good producer or director will know to ask you these questions, but it’s still a good idea to have this information in-hand when you discuss the project with your video production company. Here are some details that need to be hammered out:

Project Overview

  • What/Who the video is for
  • The goals/objectives of the video
  • The desired length of the video
  • Where the final video will be shown (website, public event, seminar, trade show, in-house communication, sales meetings, etc.
  • The deadline (Read this post regarding video production deadlines and how to schedule your video project accordingly.)

Technical Details About the Project

Responsibilities

  • Script-writing responsibilities (will the video production company be required to conceptualize and write the script, or will your department handle that task?)
  • On-camera talent (will the project require professional talent to be provided by the video production company, or will your company provide employees for the video?)
  • Voice-over talent (will the production company need to provide this, or do you have someone available that you have used before?)

The Video Shoot (this will help the video production company determine how many shooting days are necessary)

  • The amount of material that needs to be shot
  • The specific people/places/products/etc. that needs to be shot
  • The number of different locations
  • The number of people that need to be interviewed
  • The amount of archival footage, stock footage, and/or stills that will be needed

On Location Considerations

  • Addresses and directions to all locations
  • Contact person for each location
  • Loading/Unloading zones
  • Specific location protocol (security concerns, where to sign in, where the video production company can and cannot go while at the locaton)
  • Staging area (an out-of-the-way place at the location where the video production company can store their gear)

I recommend taking the video production company representatives on a tech scout of each location before the shoot, so you can go over these details and clarify any unresolved issues. A good tech scout will catch potential problems before the shoot begins.

Clear, consistent communication between yourself and the video production company will be of enormous benefit when the shoot begins. Take the time to conduct thorough pre-production planning. Provide the video production company with everything they need. Your finished video will be a lot better because of it.

*Don’t let the higher number - 1080 make you think that it’s better, or has a higher resolution that 720. Both are official high-definition formats. The difference is mainly in how the two formats record an image. The “i” in 1080i stands for “interlaced,” and the “p” in 720p stands for “progressive.” An interlaced image is created by breaking the image you see on your screen into two separate “fields” - upper and lower. Scan lines reproduce the image on the screen by scanning horizontally, top to bottom. On the first pass, the scan lines recreate every even line. On the second pass, the odd lines are recreated. The horizontal lines are interlaced to show you the complete picture. In HD video, there are 1080 horizontal scan lines. A progressive image is created by scanning the entire image in order, all at once, much like a single frame of film.

One of the things I enjoy most about working in video production is the variety. Every job is unique. One of the most recent jobs we worked on was for a producer based in Charlotte, NC. His client, a marketing firm from Milwaukee, handles a lot of work for Microsoft. Recently, a new video game was created for the XBox 360; a racing game called “Need for Speed: Shift.” To promote the launch of the game, Microsoft and their marketing team scheduled a demo with legendary race car driver Hurley Haywood. They needed a local production crew to come out to the Barber Motorsports Park to document the event.

We spent two days on location, shooting footage of the Porche vehicles on the race track and on the Barber test courses. We covered the action with two Panasonic HVX-200 cameras, shooting 1080i HD video to P2 cards. We had cameras placed at low angles next to the track, inside the vehicles, and up in scissor lifts. For the actual game demonstration, we pre-lit a Porche driving school classroom where we could get footage of Haywood as he raced other drivers on XBox Live. To conclude the shoot, we shot a sit-down interview with Haywood as he gave us his impressions of the game. The people at the Barber Motorsports Park were great. They were very accommodating and hospitable. At the end of the shoot, they even allowed us to select an item from their gift shop. It was certainly a fun and unique experience and I had the opportunity to work with some wonderful people.

clint-on-dollyA successful video production crew is a prepared video production crew. Every possible variable must be considered before heading out on location to shoot a project for a client. Your job as a video producer is to make sure that the client has everything he/she needs. So, if something unexpected pops up, you will be there with a quick solution to the problem. Accommodating the client in a prompt, professional manner is essential in building good word-of-mouth and repeat business.

Being prepared means building a versatile production kit, so that you will always have the right tools while on location. Now, I realize that everyone doesn’t have a full two ton production truck sitting in the parking lot outside the office, but you do need to focus on building up a solid production kit. This happens gradually, so you will have to rent gear when you need to. The most important thing to remember is that you, as a video producer, need to anticipate. Always expect the unexpected.

In the world of video production, the word “schedule” is used very loosely. Things get shuffled around. Shot lists change. A client’s needs might shift depending on what’s happening on set. For example, a client might tell you, “Don’t worry about audio for Friday. We will only need it on Saturday.” What happens if you leave your audio gear at the office and Friday afternoon the client tells you, “Oh, we need to mike this guy up for a quick interview.”? It doesn’t reflect well on you as a producer.

Even the most experienced video producer/director makes mistakes. The goal is to learn from these mistakes. Remember, luck favors the prepared.

Twice this week I have been up all night working as the DP for Filament Artists’ latest short film, entitled “Love at the Grocery Store.” The screenplay was selected as the winner of the Production Prize at the 2008 Sidewalk Moving Picture Festival and will premiere at this year’s festival on September 26.

Shooting inside a grocery store has its particular set of challenges and so I wanted to pass along some things to remember if any of your projects take you inside the same environment.

LIGHTING & TONE

Most grocery stores are lit with fluorescents, meaning that everything will be washed with a flat, even, diffused light. If the tone of your piece calls for high-contrast lighting, you might want to see if the grocery store manager will allow you to turn off the overheads, giving you more freedom to light as you see fit. If this isn’t possible and you still want to create a surreal look with high-contrast, you can always light your subject with hard, direct light, that comes from the side, creating harsh shadows. The hard light will force you to stop down your f-stop. This should darken the background, while leaving your subject properly exposed.

Since fluorescent bulbs cast an even, diffused light, your subjects can come out looking drab, flat, and uninteresting. You will need some additional light to help create more natural skin tones and make colors that pop just a little more. However, reflectors alone won’t get the job done. They just won’t provide enough reflected light underneath fluorescent bulbs. And aiming a 1Kw or 650w tungsten at your actors will create an obvious difference in color and tone.

To give your shots a warmer look under fluorescent lighting, start by using your tungsten lamps and reflectors together. Mount a large piece of white foam core onto a c-stand and then bounce light from a 1Kw lamp onto your subject. The result is a soft, diffused light that isn’t overbearing, and yet one that warms up the scene a bit more. And I always recommend a little rim lighting to help your subjects stand out more from the background.

Bear in mind that the above solution assumes that you want a natural, warm tone for your project. If the mood of your film is a bit darker and somber, then you might like the sterile, flat, “blue” tone that the existing lights create.

LIGHTING & COLOR

Shooting under fluorescent lights can affect the white balance of your shot. If not properly monitored, the lights may cause the color of your shot to drift slowly from a cool tone to a warm tone, then back again.

However, I’d advise you to look back at our previous post for a more extensive look at shooting under fluorescents. To that article let me add that using a Kino light bank will be a big help. Kino’s do use fluorescent bulbs, but unlike the bulbs installed overhead in a grocery store, these bulbs burn at a constant color temperature. This will give your shots more accurate color representation while maintaining a consistent look with the rest of the lighting in the store.

Fluorescent lights might also appear green on camera. A green tone might work well for your project if the mood is more sinister and the location of your story more urban, decayed, or threatening.

Look for the comedy, “Love at a Grocery Store” at this year’s Sidewalk Moving Picture Festival. The screening is tentatively set for 9pm at the Alabama Power Building.

Shooting exteriors can be tricky, because you have less control over the light falling onto your scene. It would be nice to have access to a one-ton grip truck with shiny boards, silks, butterflies, and HMI’s. But most often you won’t have the budget to acquire all that extra gear. Even without all the fancy grip and electric toys, you can still get some fantastic exteriors. Here’s how:

  1. Pay Attention to the Time of Day - Shooting in the early morning or late afternoon when the sun is low in the sky is ideal for exteriors. Conversely, shooting at mid-day when the sun is at its highest will produce nasty shadows on your subject, creating unwanted contrast. If you have to shoot the exterior of a building, scout the location first. Find out when the sun is hitting the front of the building. If the sun is at the back of the building and the front is in the shade, your shot won’t turn out very well.
  2. Invest in Lens Filters - Filters are great additions to your camera package and give you a little more control over the way your exteriors look. When placed over the lens, a filter will manipulate the light entering the camera. When shooting on cloudy days, the scene will look flat and gray. Adding a warming filter to the camera will improve skin tones and give more saturation to your colors. A definite must-have, in my opinion, is a circular polarizer filter. A polarizer has a number of different uses:
  • Increases the saturation of blue skies - You’ve probably seen video footage shot outdoors where the sky looks gray or even white. Adding a polarizer to your lens will block out the haziness of the sky and will intensify the blues, giving the sky a rich, natural look. You can rotate the polarizer to adjust the intesity of the color.
  • Reduces glare - If you’re shooting footage of a lake, river, or ocean, a polarizer will cut down on the amount of sun glare coming off the water, reducing intense highlights within the scene
  • Eliminates reflection - If you’re shooting through a window, or a car windshield, a polarizer will reduce reflection off the glass, allowing you to see through the window.

3. Use Reflectors - Even if you can’t purchase large shiny boards or flex fills, sturdy foam core will do the trick. You can use the boards to reflect sunlight back toward your subject. Bear in mind that if you place your subject in the shade, you will have to contend with the contrast between the shaded foreground and sunlit background. If you expose for the background, your subject will be too dark. If you expose for your subject, the background will be over-exposed.

A shoot scheduled at the right time of day, coupled with a few well-placed reflectors and the utilization of lens filters will ensure great exterior footage, even with the smallest of crews.

In film production continuity is incredibly important. In short, continuity refers to the consistency of actors, props, plot points, locations, events, etc. seen by the viewer. Filmmakers must make sure that if an actor opens a door with his or her left hand on one shot, he/she must do it the same way in subsequent takes. There are people on set whose job is to watch out for these visual errors. It can be very difficult to keep track of all the details within a particular shot, but careful consideration of continuity will make the film seamless.

Last weekend while shooting a scene for my upcoming short film “If Only,” we ran into a situation that demanded we pay careful attention to the light falling onto the set. That particular day we began filming around 6pm while it was still daylight. It was an interior scene staged against a large window. I wanted the scene to take place in the late afternoon, but I knew that we would never get the coverage we needed before sunset. It was up to our cinematographer to match the lighting in subsequent close-ups with the daylight we saw in the establishing shots.

Fortunately, we were shooting 720p/24p on a Panasonic HVX-200a. All of our footage was on our P2 cards. The beauty of P2 is that every take it itemized as a separate file. Therefore, users have the ability to go back to any take without the need for rewinding tape. Rewinding tape to review footage can be risky due to possible time code breaks and the potential for recording over important footage. However, with P2, my cinematographer and I were able to review our wide shots from earlier in the day, examine the way the light was falling onto our actors, then match the close-ups accordingly. I think the results were excellent. This is another reason why I am a big fan of solid-state recording.

A majority of my first post on acting for the camera dealt with preparations the actor makes in order to find work. For the purposes of today’s post, imagine that you’ve landed the role. What do directors and producers expect of you throughout the production process?

  1. A Strong Work Ethic - Whether you are getting paid for your time or you are donating your talents for the experience, you need to demonstrate an eagerness for the project. This includes: a) Arriving on time for all rehearsals and shooting dates, b) Memorizing your lines, c) Remaining courteous to everyone involved, d) Being mature and professional. We’ve all seen those “behind-the-scenes” documentaries of actors joking around on set. There’s certainly a place for that, but don’t let it hinder the process of filmmaking.
  2. A Willingness to Listen - When the director critiques your performance, don’t get defensive. Listen and acknowledge that direction. Don’t make excuses. Don’t tell the director why he/she is wrong. Effective communication begins with listening.
  3. A Willingness to Collaborate - As a director, I enjoy getting input from my actors. I expect them to come to the project with their own ideas and suggestions. I realize that not every idea fits with my vision, but I also know that some suggestions will make the film better. I welcome that creative collaboration. As an actor, you need to study the material. Be prepared to offer your opinions. It shows the director that you care about making the best film possible.

The process of filmmaking is extremely demanding, yet extremely rewarding. Being professional, courteous, and hard-working will go a long way toward landing you that next acting job.

Sunday marked the first day of shooting for our latest short film, entitled If Only. We were able to shoot at Cafe Dupont in downtown Birmingham. I want to extend my appreciation to them for their hospitality. Also, I want to acknowledge my cast and crew who worked extremely hard to ensure that the shoot was efficient and productive. Most people watch the behind-the-scenes featurettes of their favorite movies and see a happy, magical world of glamor. The lights. The cameras. The exotic locations. The smiling faces. Wow, who wouldn’t want to be a filmmaker?

What these documentaries don’t show you is the grueling day in-day out lifestyle of making movies. People get frustrated. The days are long. There are constant physical and mental demands. There are logistical issues. Things go wrong. People lose their cool. Filmmaking is not as glamorous as some make it out to be. As a filmmaker, it’s important to keep everything running efficiently while keeping your team and your actors as happy as possible. Here are a few things to keep in mind for making the set a happy place.

  1. Feed the cast & crew. This is probably the most important thing you can do. A well-fed crew is a happy crew. And a happy crew will put forth more effort. Always have adequate snacks and drinks available. And always break for meals.
  2. Don’t keep your actors waiting. Nothing is worse than a bunch of actors standing around doing nothing. Make sure the call times for your actors are at the last possible moment. There’s no need to have your actors on set when you’re still setting the lights and the camera.
  3. Pad the schedule. On my call sheets, I always try to pad the schedule. I prepare my cast and crew for a long day, so that when we wrap early, they will go home feeling productive.
  4. Don’t lose your cool. Things will go wrong. You will get behind schedule. Someone will frustrate you. However, as director, you need to remain professional. No one wants to work for someone who feels the need to yell at everyone and everything. Respect others and they will respect you.
  5. Know how to communicate effectively. Your film is your vision. You have to know how to communicate that vision to your crew and your actors. When you have a director who can’t answer questions about lighting, or what lens to use, or where the camera should be, or where the actors should go, you will have people who feel as though their time is being wasted. Soon you will find that you have lost their respect, because you haven’t prepared. Know what you need, where you need it, and why you need it. A director who can communicate clearly and effectively is a director people will want to work with again.
